What we need from you before we install your phone system

A list of every phone number you own, who currently supplies them, and a recent bill. Gathering these before we start is the single biggest thing that keeps an install on schedule.

Almost every delay in a phone system install traces back to missing paperwork rather than missing equipment. Here is everything we will ask for, so you can gather it once.

A complete list of your numbers

Every number the business owns — not only the ones you use. Numbers get forgotten: an old fax line, a direct line for someone who left, a number printed on a vehicle. If a number is not on the list, it does not move, and finding out later is expensive.

A recent bill from your current provider

One full bill, no more than a couple of months old. It tells us who actually supplies each service (often not who you think), the exact account name and address on record, and whether anything is still in contract.

The exact account details, character for character

  • Account name as it appears on the bill, including any Pty Ltd
  • Service address as it appears on the bill, even if it is out of date
  • Account number

A mismatch here is the most common reason a number transfer is rejected, and a rejection means starting the notice period again. Copy from the bill rather than from memory.

Who answers what

A short description of how calls should flow: who picks up the main number, in what order, what happens if nobody answers, and what should happen after hours. It does not need to be formal — a sketch on paper is fine.

Site access and a network contact

Someone who can let us in, and someone who can tell us about the network — where the router lives, whether there is a switch, and who to ask for a password. Often the same person.
